Terms & Conditions
Last updated: October 19, 2026
These Terms & Conditions (the “Terms”) are a binding agreement between ZIMA LLC (“ZIMA”, “we”, “us”) and the business that registers or uses an account on jevas.app (the “Company”, “you”). They apply to the JEVAS application, the public website, the JEVAS Store, payment links and messages generated through JEVAS, and any related support.
By creating a Company, joining one with an invitation code, clicking “Create account” or otherwise using JEVAS, you accept these Terms and our Privacy Policy. If you accept on behalf of a business, you confirm that you are authorized to bind it. If you do not agree, do not use JEVAS.
1. What JEVAS is — and is not
JEVAS is cloud software to run a jewelry store. Depending on the modules your administrator enables, it includes:
- Inventory: items with SKU, barcode, metal, karat, weight, stones, photos, cost and price; gold-based pricing from spot prices; CSV import and export; inventory counts; transfers between stores; memo/consignment tracking; discards.
- Sales: invoices, discounts, taxes and tax-exempt sales, shipping, due dates, partial payments, custom payment methods, returns, attachments and printable invoices.
- Layaways: deposits, payment plans, balances, due dates and optional SMS reminders.
- Customers: contact details, notes and history.
- Workshop: repairs, custom creations, sizing, engraving, cleaning and special orders with ticket numbers, photos and status tracking; items created in your workshop can be added to inventory.
- Pawns (prendas/empeños): record of loans secured by jewelry, interest, due dates, payments and redemptions.
- Purchasing and finance: purchases, expenses, supplier ledgers (charges and payments), reports and change reports.
- Labels and scanning: jewelry labels for supported printers, calibration tools, barcode and QR scanning with a reader or the device camera.
- Company administration: several stores, unlimited users, roles and permissions per module, company documents with alert dates, tasks, support and feature requests.
- Payment connectors: payment links through your own Clover, Square or Stripe account.
- Assistant: an AI assistant that answers questions about your data and guides you through the app.
- JEVAS Store: hardware and supplies (printers, labels, scanners, stands) sold separately.
JEVAS is a tool to record and organize your business. ZIMA is not a bank, lender, pawnbroker, payment processor, money transmitter, accountant, tax adviser, appraiser, insurer or law firm. Nothing in the product, its reports, its gold-price calculations or its assistant is financial, legal, tax or appraisal advice. You remain solely responsible for your business decisions and for complying with the laws that apply to a jewelry store, pawn shop or precious-metals dealer in your jurisdiction.
2. Eligibility and account registration
- You must be at least 18 years old and operate, or work for, a legitimate business to use JEVAS.
- You must provide accurate information when registering and keep it up to date (Company name, store addresses, billing email).
- The person who creates a Company becomes its owner and first administrator. The owner may transfer ownership or add other administrators.
- Each person must use their own account. Shared logins are not allowed because the audit trail depends on knowing who did what.
- You are responsible for keeping credentials confidential and for all activity under your Company’s accounts. Notify us immediately at soporte@jevas.app if you suspect unauthorized access.
3. Users, roles and invitation codes
- There is no limit on the number of users per Company or per store.
- Administrators invite staff with the Company’s invitation code, assign a role to each user, and can deactivate users at any time. Deactivated users lose access immediately; their past actions stay in the records.
- Roles control which modules a user can open. You are responsible for configuring roles appropriately (for example, not giving sales staff access to company documents or reports if you do not want them to see them).
- Keep the invitation code private. Anyone who has it can join your Company. Regenerate it from the Users page if it has been shared too widely.
- ZIMA will never ask for your bank, Clover, Square, Stripe or WhatsApp password. Report any such request to soporte@jevas.app.
4. Stores
A Company can create several stores. Each store keeps its own inventory, sales, invoice and ticket numbering, layaways and workshop orders; inventory can be transferred between stores and reports can be consolidated. Each store is a separately billed unit (see section 5). Deleting or closing a store does not delete the Company’s historical records.
5. Pricing, free trial, billing and cancellation
- Price. JEVAS costs US$99 per store per month, plus any applicable sales tax or VAT. All users of a store are included. The current price is published on jevas.app and in the Subscription page of your account.
- Free trial. Each new store starts with a free trial of 2 months. No credit card is required to start the trial. All features are available during the trial. When the trial ends you must subscribe to continue using that store.
- Billing cycle. Subscriptions are billed monthly in advance through Stripe and renew automatically each month until canceled. By subscribing you authorize ZIMA, through Stripe, to charge your payment method at the start of each billing period, including any price changes communicated in advance.
- Failed payments and grace period. If a renewal payment fails, Stripe will retry it and email you. You keep full access for a grace period of 14 days after the end of the paid period. If payment is not received by then, the Company is blocked: you can still sign in to update billing, but the operating modules are suspended until the balance is paid. Your data is preserved while blocked (see section 9).
- Cancellation. You can cancel at any time from the Subscription page (Stripe customer portal) or by emailing soporte@jevas.app. Cancellation takes effect at the end of the current paid period; you keep access until then, followed by the grace period above. We do not charge cancellation fees.
- Refunds. Fees already paid are non-refundable and there are no refunds or credits for partial months, unused stores or unused features, except where required by law or where we decide, at our discretion, to issue a credit for a prolonged outage.
- Price changes. We may change prices or introduce new plans with at least 30 days’ notice by email or inside the app. Changes apply from the next billing period after the notice period. If you do not agree, cancel before the new price takes effect.
- Taxes. Prices exclude taxes. Where ZIMA is required to collect sales tax or VAT, it will be added to your invoice. You are responsible for any other taxes related to your use of JEVAS.
- Adding or removing stores. Each additional store you create gets its own trial and is billed separately. Removing a store stops its billing at the end of its current period.
6. Payment connectors and payment links
- You may connect your own Clover, Square or Stripe merchant account to generate payment links for sales and layaways. Connecting requires authorizing JEVAS through the provider’s OAuth flow; you can disconnect at any time from the Connectors page.
- Payments made through a link are processed by the provider under its terms and fees, and the funds are deposited directly into your merchant account. ZIMA never receives, holds, transfers or refunds customer funds.
- ZIMA is not a party to the transaction between you and your customer and is not responsible for declined payments, chargebacks, disputes, fraud, provider fees, payouts, account holds or outages of Clover, Square or Stripe.
- You are responsible for keeping your merchant account in good standing, for issuing refunds through the provider, and for any taxes on your sales.
- JEVAS records the status of each link (open, paid, expired) to update your books. If the provider stops reporting a status, the record may need manual correction.
7. Text message reminders
If you enable layaway SMS reminders you agree that:
- you have obtained each customer’s prior express consent to receive text messages from your store about their layaway, and you keep a record of that consent;
- the phone numbers you enter are accurate and belong to the customers you intend to message;
- you will honor opt-out requests immediately; JEVAS automatically processes STOP replies, but you must also stop manually if a customer asks you in person;
- you will not use the feature for marketing, promotions or any message other than layaway reminders;
- you are solely responsible for compliance with the Telephone Consumer Protection Act (TCPA), CTIA guidelines, and any other messaging or consumer-protection law that applies to your store.
Messages are sent from a ZIMA-controlled number on your behalf. We may limit volume, add required footers, or suspend the feature for your Company if we receive carrier complaints, see high opt-out rates or suspect misuse.
8. Pawns, memo and regulated activities
The Pawns module records loans secured by jewelry, and the memo/consignment features record goods you hold for suppliers. These are record-keeping tools only. Pawn lending, buying precious metals from the public, consignment and related activities are regulated in most places (licensing, interest-rate caps, holding periods, identity checks, police reporting, anti-money-laundering rules). You are solely responsible for holding the required licenses, following those rules, calculating interest and fees correctly, and keeping any records the law requires beyond what JEVAS stores. JEVAS’s default values (for example memo periods or interest fields) are not legal advice.
9. Your data
- Ownership. You own all data you and your users enter into JEVAS (“Company Data”). You grant ZIMA a worldwide, non-exclusive license to host, copy, process, transmit, back up and display Company Data solely to provide, secure and improve the service and as permitted by the Privacy Policy.
- Responsibility. You are responsible for the accuracy and legality of Company Data, for having the right to store your customers’ and suppliers’ information and uploaded files, and for configuring roles so only authorized staff see it.
- Access by ZIMA. Our staff access Company Data only to provide support you requested, to investigate security or abuse issues, or as required by law.
- Export. You can export inventory and reports as CSV and print invoices, labels and documents at any time. Please export regularly; we also keep backups, but they are for disaster recovery and not a substitute for your own copies.
- Retention while blocked. If your subscription lapses, your data is preserved while the Company is blocked so you can resume. After 12 months of inactivity we may delete it with at least 30 days’ notice to administrators.
- Deletion. On written request from an administrator we delete the Company and all its data within 30 days, except records we must keep by law. Deletion is permanent.
- Accuracy of calculations. Gold spot prices come from a third-party feed and may be delayed or wrong; gold-based prices, inventory values, totals, taxes and reports are computed from the data you entered. Verify important figures before quoting, invoicing, filing taxes or making decisions.
- Assistant output. The assistant generates answers automatically and may be inaccurate or incomplete. It is a convenience, not a source of record. Review its output before acting on it.
10. Acceptable use
You agree not to, and not to allow anyone using your account to:
- use JEVAS for anything unlawful, including laundering money, selling stolen or counterfeit goods, or evading taxes;
- enter data about people without the right to do so, or use customer data for purposes they did not agree to;
- send unsolicited, deceptive or marketing messages through the SMS feature;
- attempt to access another Company’s data, probe, scan or test the vulnerability of the service, or interfere with its operation;
- bypass billing, roles, permissions or other access controls;
- copy, modify, resell, sublicense, rent, lease, white-label or reverse engineer JEVAS, or build a competing product using it;
- use bots, scrapers or automated means to access the service except through features we provide (such as CSV import);
- upload malware or content that is defamatory, infringing or otherwise unlawful;
- misrepresent your affiliation with ZIMA or use the JEVAS name or logo without permission.
We may investigate violations and may suspend or terminate accounts that breach these Terms, with notice where practical. We may also remove content that violates the law or these Terms.
11. Hardware, printers and scanners
JEVAS prints labels and invoices through your browser or through supported label printers, and reads barcodes with USB/Bluetooth scanners or the device camera. Compatibility depends on your device, operating system, browser and printer firmware. Calibration tools are provided to help, but we do not guarantee that every printer or label stock will work, and we are not responsible for wasted label stock or misprints. Hardware sold in the JEVAS Store is covered by section 12.
12. JEVAS Store (hardware and supplies)
- Products in the JEVAS Store are sold by ZIMA and checked out through Shopify. By placing an order you also accept Shopify’s checkout terms.
- Prices, shipping costs, delivery estimates and taxes are shown at checkout. Prices may change without notice until an order is placed.
- Products are covered by the manufacturer’s warranty where one exists. Defective items may be returned within 30 days of delivery for replacement or refund; opened consumables (labels, ribbons) are not returnable unless defective. Contact soporte@jevas.app before returning anything.
- Store purchases are separate from your JEVAS subscription; buying hardware does not extend a trial or subscription, and canceling a subscription does not entitle you to return hardware.
13. Availability, support and changes to the service
- We aim to keep JEVAS available 24/7 but do not guarantee uninterrupted or error-free operation. Planned maintenance will be announced in advance when possible.
- JEVAS depends on third parties (Supabase, Vercel, Stripe, Clover, Square, Twilio, OpenAI, Shopify, gold-price feeds). Their outages or changes may affect features, and we are not liable for them.
- Support is provided by email at soporte@jevas.app and through the Support page in the app, in Spanish and English, during business hours (Pacific Time). We do not guarantee response times unless agreed in writing.
- We may add, change or remove features, and may release features in beta that are marked as such and may be withdrawn. Where a change materially reduces core functionality you pay for, we will give reasonable notice.
- If we decide to discontinue JEVAS entirely, we will give at least 60 days’ notice and keep export tools available during that time.
14. Intellectual property
JEVAS, including its software, design, text, graphics, logos, name and documentation, is owned by ZIMA LLC or its licensors and is protected by copyright, trademark and other laws. These Terms give you a limited, non-exclusive, non-transferable, revocable right to use JEVAS for your internal business while your account is in good standing. All other rights are reserved. Suggestions or feedback you send us may be used freely to improve the product without obligation or compensation to you.
15. Confidentiality
We will keep Company Data confidential and will not disclose it except as described in the Privacy Policy or as required by law. You will keep confidential any non-public information about JEVAS that we share with you (for example beta features or pricing offers).
16. Third-party services
Clover, Square, Stripe, Twilio, Shopify and other third-party services you use with JEVAS are governed by their own terms and privacy policies. ZIMA does not control them and is not responsible for their acts, omissions, fees or availability. Connecting a third-party service is at your own risk.
17. Disclaimer of warranties
JEVAS AND THE JEVAS STORE ARE PROVIDED “AS IS” AND “AS AVAILABLE”. TO THE FULLEST EXTENT PERMITTED BY LAW, ZIMA DISCLAIMS ALL WARRANTIES, EXPRESS, IMPLIED OR STATUTORY, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, ACCURACY AND UNINTERRUPTED OR ERROR-FREE OPERATION. WE DO NOT WARRANT THAT GOLD PRICES, CALCULATIONS, REPORTS OR ASSISTANT ANSWERS ARE ACCURATE OR COMPLETE, OR THAT JEVAS WILL MEET YOUR LEGAL OR REGULATORY REQUIREMENTS.
18. Limitation of liability
TO THE FULLEST EXTENT PERMITTED BY LAW, ZIMA AND ITS OWNERS, EMPLOYEES AND SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR LOSS OF PROFITS, REVENUE, BUSINESS, DATA, GOODWILL OR INVENTORY, OR FOR THE COST OF SUBSTITUTE SERVICES, ARISING OUT OF OR RELATED TO JEVAS OR THESE TERMS, EVEN IF ADVISED OF THE POSSIBILITY OF SUCH DAMAGES. ZIMA’S TOTAL CUMULATIVE LIABILITY FOR ALL CLAIMS WILL NOT EXCEED THE AMOUNT YOU PAID ZIMA FOR JEVAS IN THE TWELVE (12) MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM, OR US$100 IF YOU HAVE NOT PAID ANYTHING. SOME JURISDICTIONS DO NOT ALLOW CERTAIN LIMITATIONS, SO SOME OF THESE MAY NOT APPLY TO YOU.
19. Indemnification
You will defend, indemnify and hold harmless ZIMA and its owners, employees and agents from any claims, damages, losses and expenses (including reasonable attorneys’ fees) arising from: Company Data; your use of JEVAS in violation of these Terms or the law; messages you send to customers; your pawn, consignment, buyback or sales transactions; your failure to hold required licenses; or disputes between you and your customers, suppliers, staff or payment providers.
20. Suspension and termination
- By you: cancel your subscription at any time (section 5) or request deletion of your Company (section 9).
- By us: we may suspend or terminate your access immediately if you materially breach these Terms, fail to pay after the grace period, create legal risk for ZIMA, or if required by law. We will give notice where practical and, except in cases of serious abuse, a chance to export your data.
- Effect: on termination your right to use JEVAS ends, amounts owed become due, and sections that by their nature should survive (data, IP, disclaimers, liability, indemnity, disputes) survive.
21. Governing law and dispute resolution
These Terms are governed by the laws of the United States and of the state in which ZIMA LLC is organized, without regard to conflict-of-law rules. Before filing any claim you agree to contact us at soporte@jevas.app with a description of the dispute and to negotiate in good faith for 30 days. Any dispute not resolved informally will be brought exclusively in the state or federal courts located in that state, and both parties consent to their personal jurisdiction and venue. Each party waives the right to a jury trial and to participate in a class action to the extent permitted by law. Either party may seek injunctive relief in any court to protect its intellectual property or confidential information.
22. Changes to these Terms
We may update these Terms from time to time. The “Last updated” date at the top shows the latest revision. For material changes we will notify administrators inside the app or by email at least 30 days before they take effect. Continued use of JEVAS after that date means you accept the new Terms; if you do not, cancel before they take effect.
23. General
- These Terms and the Privacy Policy are the entire agreement between you and ZIMA regarding JEVAS and replace any prior agreements or representations.
- If any provision is held unenforceable, it will be limited to the minimum extent necessary and the rest remains in effect.
- Our failure to enforce a provision is not a waiver of it.
- You may not assign these Terms without our written consent; we may assign them in connection with a merger, acquisition or sale of assets.
- Neither party is liable for delays caused by events beyond its reasonable control (force majeure), except for payment obligations.
- The parties are independent contractors; these Terms create no partnership, joint venture or agency.
- Notices to you will be sent to the administrator email on file or shown inside the app; notices to us go to soporte@jevas.app.
- These Terms are written in English. Translations are provided for convenience; the English version controls.
